1. Purpose

This Privacy Policy explains how Coding AI Labs Ltd (“we”, “us”) collects, uses, stores, and protects personal data when you use Auto Lead Suite (“the Platform”).

2. Legal Basis

We process personal data as a controller (for our own business data) and as a processor (on behalf of Customers) under the UK Data Protection Act 2018 and GDPR (Articles 6 and 28).

3. Information We Collect

  1. Account Data: name, email, phone, company name, billing details, login credentials.
  2. Leads & Contacts: names, phone numbers, emails, and other data you upload.
  3. Usage Data: IP addresses, device IDs, browser types, session duration, cookies, and analytics.
  4. Messaging Data: message templates, delivery reports, WhatsApp IDs, timestamps.
  5. Payment Data: processed securely by third-party processors (e.g., Stripe); we do not store card numbers.

4. How We Use Data

  1. To provide and manage your subscription.
  2. To authenticate users and secure accounts.
  3. To send service emails, billing notices, and support communications.
  4. To analyse usage and improve the Platform.
  5. To comply with legal and regulatory obligations.
  6. To ensure WhatsApp Business API compliance (audit and template review purposes).

5. Lawful Grounds of Processing

We rely on: (a) performance of contract with you, (b) legitimate business interests to improve our services, and (c) your consent for marketing communications.

6. Data Retention

Customer Data is retained for as long as your account is active and for up to 90 days after termination (for backup and audit). Aggregated analytics data may be retained anonymously.

7. Data Security

We use SSL/TLS encryption, token-based authentication, regular backups, and limited employee access. While we strive for security, no online system is 100 % secure.

8. Data Sharing

We share data only with:

  1. Service Providers (e.g., cloud hosting, payment, analytics) under confidentiality contracts.
  2. WhatsApp Business Solution Providers (for message delivery and template approval).
  3. Legal Authorities when required by law or court order.
  4. Affiliates or successors in case of merger or acquisition (with notice).

We never sell personal data to third parties.

9. International Transfers

Your data may be processed in or transferred to servers located outside the UK/EU (e.g., AWS, Google Cloud). We ensure adequate protection through standard contractual clauses or equivalent safeguards.

The Platform is not intended for children under 16. We do not knowingly collect children’s data.
